Position Overview
B-Line Tire & Auto Supply Ltd. is seeking a highly organized and detail-oriented Parts & Service Advisor / Service Scheduler to support our outside service technicians. This role is responsible for coordinating service schedules, managing parts and work orders, and ensuring all service-related paperwork and documentation are accurate and completed in a timely manner.
The ideal candidate is proactive, organized, and able to manage multiple tasks while supporting technicians and maintaining smooth service operations.
Key Responsibilities
Service Scheduling & Coordination

Schedule and coordinate daily service calls for outside technicians

Communicate job details, locations, and priorities to technicians

Adjust schedules as needed based on urgency, technician availability, and customer needs

Maintain service calendars and job tracking systems
Parts & Work Order Management

Prepare and manage work orders for service jobs

Coordinate required parts and materials for scheduled service work
-
Track parts usage and ensure technicians have necessary items before jobs
-
Work with the parts department to ensure availability and timely ordering of required components
Documentation & Administrative Support

Process service paperwork and ensure work orders are completed accurately

Enter service data into internal systems for billing and records

Maintain organized documentation of service calls, parts usage, and technician reports

Assist with invoicing preparation and service documentation
Technician Support

Serve as the primary support contact for outside service technicians
-
Assist with troubleshooting parts needs or job details while technicians are in the field
-
Ensure technicians have the information and materials needed to complete work efficiently
Customer Communication

Coordinate service appointments with customers when required

Provide updates on service scheduling and job status
-
Ensure customer service expectations are met through clear communication
Qualifications

Experience in automotive, tire, mechanical, or service industry preferred

Strong organizational and multitasking skills

Experience with work orders, scheduling, or service coordination is an asset

Basic knowledge of automotive or mechanical parts preferred

Strong communication and problem-solving skills

Proficiency with computers and office software
